Executive Pastor Administrative Coordinator

Part-time (15 - 20 hours/week)


Reports to: Executive Pastor
Effective Date: February 2023


Position Summary:
Coordinate administrative functions to help lead people to grow in their faith,
hope, and love for Jesus. Provide high level administrative support to the
Executive Pastor while also working to lead various projects. Use administrative
gifts to assist with schedules, meetings, email and phone communication, office
restocking needs, and various church meetings, events, or operations functions.

Position Responsibilities:


Executive Administrative Duties:
1. Meet weekly to check in with the Executive Pastor and proactively
prepare for upcoming events and plans, assisting the Executive Pastor
with new and on-going projects.
2. Work directly with the Executive Pastor to provide administrative
support as needed and directed. (Taking notes at meetings, credit card
reconciliation, Scheduling, Emailing, Assisting with PTO days, & Meeting
Prep).
3. Elder team meeting preparations, agendas, minutes, and scheduling.
Includes quarterly meetings, prayer times, document support and
organization. Policy and procedures organization.
4. Administrative support for Deeper Journey.
5. Work with a team to plan annual staff retreats, events, and training
times. Handle food and location logistics.

General Administrative Duties:
6. Manage the email and Drive account.
7. Be the primary point person to answer and direct office phone calls and
voice messages to the appropriate parties.
8. Ensure administrative office, co-work space, and 1st floor meeting
rooms are kept in order and stocked with needed supplies. Manage
printer/copier issues and ordering as well as office closet.
9. Assist in Summer Internship Logistics and details.

10.Provide Staff Meeting and monthly directional meeting support as
needed (agendas, draft minutes and provide materials/food).
11. Manage Planning Center People Data in order to ensure accuracy and
data integrity through periodic updates from the church family. Update
leader listing at least semi-annually.
12.Assist Accounting & Operations Manager with annual budget-related
admin tasks.
13.Provide administrative scheduling and support with the safety team
lead.
14. Support the Sunday service gatherings as needed.
15. All other duties assigned.


Essential Skills and Experience:


High school diploma required. Bachelor's degree preferred
