Part-Time Administrative Coordinator

Reports to: Executive Pastor
Effective Date: October 2021

Position Summary:
Coordinate administrative functions to help lead people to grow in their faith,
hope, and love for Jesus. Provide administrative support to the Executive Pastor
and Accounting and Operations Manager. Use administrative gifts to assist with
schedules, meetings, email and phone communication, office restocking needs,
and various church meetings, events, or functions.

Position Responsibilities:

1. Meet weekly to check in with the Executive Pastor and proactively
prepare for upcoming events and plans.
2. Work directly with the Executive Pastor to provide administrative
support as needed and directed. (Taking notes at meetings, Scheduling,
Emailing, Assisting with PTO days, & Meeting Prep).
3. Assisting the Executive Pastor with new and on-going projects.
4. Manage the email and Drive account.
5. Be the primary point person to answer and direct office phone calls and
voice messages to the appropriate parties.
6. Ensure administrative office and co-work space is kept in order and
stocked with needed supplies. Manage printer/copier issues and
ordering as well as office closet.
7. Work with a team to plan annual staff retreats and training times.
Handle food and location logistics.
8. Assist in Summer Internship Logistics and details as needed.
9. Coordinate EHL Cohort logistics (ordering books, setting up host homes).
10.Work with Exec Pastor to plan quarterly staff and family events as well as
the annual Christmas party.
11.Provide Staff Meeting and directional meeting support as needed (draft
minutes and provide materials/food).
12.Plan semi-annual vision dinners with Exec and Lead Pastors
13.Monthly credit card reconciliation for Executive Pastor.
14. Assist Executive Pastor and Accounting & Operations Manager with
Annual Staff Assessment Communications and scheduling.

15. Manage Planning Center People Data in order to ensure accuracy and
data integrity. Update leader listing at least semi-annually.
16.Assist Accounting & Operations Manager with annual budget-related
admin tasks.
17. Support the Sunday service gatherings as needed.
18. All other duties assigned.

Essential Skills and Experience:
High school diploma required. Bachelor's degree preferred

First Steps and Connections Coordinator 

Reports To:  Care Pastor | Effective Date:  Nov. 2021 | 15 hour per week job To Apply: 

Position Summary:

Build upon and cultivate the culture of Welcome at Providence by making our congregation feel more connected. Develop a process where all newcomers are identified and followed up with. Connect new individuals and families with ministries and ministry leaders. 

Position Responsibilities:

  • First Steps
    • Schedule and execute the Newcomer Dinners and DiscoverProv classes on at least a quarterly basis and work with the Communications Team to create awareness of events.
      • Set up host homes for Newcomer Dinners and reserve room for DiscoverProv classes
        • Be part of DiscoverProv teaching team
      • Provide an opportunity for people who miss a DiscoverProv to stay connected and finish the class
    • Work with the life group coordinator to assist people in getting into a group.
  • Connection Center on Sundays
    • Meet new people on Sundays
    • Recruit, develop and train the Connection Team for Sunday mornings
      • Schedule volunteers, have the team set up Connection Center, and plan for Sunday morning. 
    • Utilize Planning Center/People in Connection Center for correct and reliable contact information
  • Follow Up of Newcomers
    • Work with a team to ensure personal follow-up with  each newcomer by phone and/or email and put notes in Database
    • Use Planning Center/People to identify and automate follow-ups
      • Maintain the personal touch and relationship building when possible
      • Work with communications team to create automated emails and follow-ups to gather data and further engage new people in first steps
    • Provide ongoing opportunities for people to commit to family and sign and follow-up through the Covenant process
    • Help all people connect deeper into the Prov family (First Steps, service opportunities, events, etc . . .)
    • Work with Care Pastor to coordinate visitations for families in need.
      • Attend monthly Care meetings for awareness and prayer

Essential Skills and Experience:

  • Ministry vocational experience preferred. 
  • Care and visitations experience in a church setting.  
  • Clear testimony and ongoing spiritual growth.
  • Comfortable with using technology.  Planning Center experience preferred.  
  • Full agreement with Providence’s Doctrinal Summary, Mission, and Vision.
  • Excellent communication and team leadership skills. 
  • A vibrant marriage/or healthy singleness and emotionally healthy lifestyle.
